Where replies go cold

Outreach gets most of the attention. Replies get less, and that's where good conversations quietly stall.

Here are five common spots where a promising reply goes cold, and a fix for each that takes under an hour.

The five spots

  1. The first answer is slow.

Fix: one owner, reply alerts on, two short reply windows a day and a few ready-to-edit answers for common first questions.

  2. Nobody owns the reply.

Fix: name one person who answers replies and one who owns follow-up. Write both names where the team can see them.

  3. Interested isn't defined.

Fix: list three phrases that signal real interest and three that only sound polite. Share the list with whoever answers.

  4. Not now has no date.

Fix: every not-now reply gets a follow-up date in one list, and someone works that list every week.

  5. The handoff has no context.

Fix: use the five-line handoff note for every meeting booked.

Start with one

Don't fix all five at once. Pick the spot where you hesitated longest and fix that this week. Then check it again in two weeks.
